SKU mapping: link shop SKUs to your stock items exactly

Updated

SKU mapping links the product codes a sales channel uses to your own stock item codes, with the quantity each sale represents. SmartFACT Data’s Shopify, WooCommerce and PrestaShop connectors map each shop SKU to a stock item with an exact unit factor. Each mapping is drafted with its expected result, reviewed by a second person and activated, and StoresFlow applies it to stock under its own checks.

Why codes differ

A shop lists what customers buy, such as a pack of two, while the stockroom counts the items inside. Each channel can also use its own SKU for the same product, so orders need translating before they mean anything to stores.

Exact mappings and pack factors

A mapping names the shop SKU, the stock item and the exact number of base units each sale represents. ‘Use stock item PART-A for shop SKU SHOP-A at two base units per shop unit’ maps SHOP-A and nothing else: a lower-case ‘shop-a’ is not treated as a match.

Review before activation

The author enters the expected result for an example order before saving. A reviewer sees the order before and after mapping and activates the change with a reason.

Unmapped lines are held

An order line whose SKU has no active mapping is held for attention rather than guessed, and nothing is deducted until it is resolved.

Rules for which source a product reads

Source-selection rules decide where a product reads its data, for example an approved ERP source for urgent jobs and an approved sheet otherwise, holding the work when the chosen source is unavailable or out of date.

Write, test and approve these rules in SmartFACT Automation

Shop mappings, reference edits and source-selection rules can be described in plain English in SmartFACT Automation, where AI proposes the rule and a plain restatement, or built directly in the structured editor. Either way the rule is checked against examples your team agreed in advance and approved by a reviewer before SmartFACT Data applies it. SmartFACT Data then runs the approved rule itself, with no AI call when the decision is made. Automation is included with SmartFACT Data’s paid plan.

What SmartFACT Data does not do

  • Match SKUs approximately or guess a mapping.
  • Move stock directly. StoresFlow applies mappings under its own checks.
  • Connect other systems free of charge. Anything beyond uploaded sheets and the three shop connectors is a paid integration.

Common questions

What is SKU mapping?

Linking each sales channel’s product code to your own stock item, with the quantity each sale represents.

Does a mapping move stock?

No. It translates the order. StoresFlow records stock movements under its own checks.

What does it cost?

Uploaded sheets and the Shopify, WooCommerce and PrestaShop connectors are free while SmartFACT Data is in early access. Any other integration is scoped and priced before work starts.

Early access starts with an agreed workflow. Supported scope and onboarding arrangements are confirmed with you.
